SAMPLES & APPROVALS

See it. Test it.
Know what you approve.

Samples help answer real questions about fit, materials, decoration and construction. A useful sample process distinguishes a reference from a customised sample and an agreed pre-production version.

Sample availability, price, scope and checks are confirmed only for a validated product route.

THREE SAMPLE PURPOSES

The right sample answers the right question.

These are distinct decisions, not three automatic steps included with every order.

Reference sample

Explore the base product

What it helps assess

Assess general fabric feel, construction, dimensions or fit.

What it does not prove

Does not prove your final branding or the consistency of a production batch.

Explore the intended finish

What it helps assess

Check how a specific logo, decoration or construction variation looks and feels on a sample.

What it does not prove

Changes, tolerances and approved artwork must still be documented.

Pre-production reference

Review the agreed version

What it helps assess

Where the route permits, document the exact reference used for later inspections and acceptance criteria.

What it does not prove

It cannot guarantee that every unit in a batch will match automatically.

Concept images only; no claim that these items are available or represent completed sample approvals.

APPROVAL WITH CONTEXT

Approve the version, not just the picture.

A sample record is useful only when everyone knows which product, file and conditions it refers to. A visual mockup or approval email is not by itself a verified production release.

Understand the approval process
Sample & specification IDIdentify which material, size and construction was evaluated.
Artwork & proof versionRecord the exact design and decoration file approved for this sample.
Tolerances & observationsCapture measurements, visible deviations, tests and any open exceptions.
Authorised decisionRecord who approved which version and whether further conditions remain.
Separate production releaseSupplier release still requires confirmed terms, reconciled funds and internal approval.

BEFORE YOU COMMIT

Samples are part of the decision, not the whole guarantee.

Are samples free?

No free samples are promised. Any sample, setup, design or delivery charges require an explicitly agreed quote.

Do I always need a physical sample?

It depends on the product, manufacturing route, risk and applicable approvals. A mockup is never automatically a substitute for physical testing.

What if the sample is not right?

Document the difference against the approved scope. Next steps, costs and revisions depend on the agreed project and supplier conditions.

Does sample approval start production?

No. A formal customer agreement, available reconciled funds and separate authorised release checks remain necessary.
